Job Title: IT Planning Analyst, Sr

Location: San Francisco, CA

Duration: 6 months with possible extensions

NOTE: This is a W2 contract position, NO VENDORS PLEASE

In this position the Planning Analyst assists with record keeping, contracts administrative support, and processing contract renewals. Responsibilities include, but are not limited to, the following:

    • Create project records in databases
    • Train project managers on procedures, workflows, tools and best practices
    • Create and update records and databases with personnel, financial, and other data
    • Research and compile information regarding professional services, staff augmentation for IT teams
    • Monitor Purchase Orders
    • Generate standardized and ad hoc reports
    • Review time sheet delinquencies and follow up with contracted resources
    • Preparing contract documents for the Ariba system which manages material & professional services ordering & procurement.
    • Develop and maintain a productive working relationship with project sponsors, vendors, and key clients.
    • Work with resource leads & vendors to ensure appropriate documentation received for onboarding of new resources
    • Onboarding/Offboarding of non-employee workers
    • Review contract invoices, accruals, time cards, identify disparities, and resolve issues with the vendors.
    • Serves as the liaison between IT technical teams, resource manager, and human resources organization to develop and implement appropriate IT talent management activities.
    • Sharing and clarifying contract processes, conditions and details with management, business partners and employees.
    • Obtaining contract-related information from relevant parties.
    • Reviewing contracts, verifying accuracy and resolving discrepancies in line with company rules and guidelines.
    • Ensuring relevant documentation accompany contracts and maintaining digital copies of relevant documentation.
    • Monitor & report out upcoming contractor end dates, work with resource leads to pursue extensions as needed
    • Monitor upcoming tenure limits and work with resource leads
    • Monitor authorized spend versus amount spent and forecasted on staff augmentation & professional services purchase orders
    • And other miscellaneous responsibilities as needed

    Knowledge, Skills, and Abilities

    Required:

    • Ability to operate in a matrixed environment
    • Excellent communication and collaboration skills
    • Strong knowledge of Microsoft Office Tools (Excel, Word, Access, PowerPoint, Visio, Microsoft Project) and SharePoint or equivalent collaborative tools.
    • Familiarity with office management procedures and basic accounting principles

    Desired:

    • Experience using tools. Understands and uses the hard tools (eg project management software) and soft tools (eg how to facilitate startup meetings) to manage project activities. Microsoft Word, Excel, Access, Project, PowerPoint. HP Project and Portfolio Management Center Issue Management, Risk Management, Scope Management. SAP.
    • Advanced Experience with Ariba
    • Data Management: Gathers, groups, classifies, or arranges written information or data in some meaningful order or form (eg, reports, charts, graphs); data management includes determining what data to gather; and accurately maintaining data files.
    • Metrics Reporting: Coordinates metrics reporting and ensures metrics with the associated analytics supporting the metrics are completed in a timely and accurate manner.
